Welcome to CVDraft.io ("CVDraft", "we", "our", or "us"). This Privacy Policy explains how we collect, use, disclose, process, store, and protect your personal information when you access or use the CVDraft.io website, applications, and services (collectively, the "Services"). This Policy applies globally and addresses the requirements of the EU General Data Protection Regulation (GDPR), UK GDPR, California Consumer Privacy Act (CCPA) as amended by the CPRA, India's Digital Personal Data Protection Act 2023 (DPDP Act), Australia's Privacy Act 1988, Canada's PIPEDA, and Brazil's LGPD (Lei Geral de Proteção de Dados).

By using our Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Policy, you must not use the Services.

1. Data Controller and Contact

CVDraft.io ('CVDraft', 'we', 'our', or 'us') is the data controller responsible for the personal data processed through the Services.

CVDraft.io is operated from Bengaluru, Karnataka, India. For all privacy-related enquiries, data subject requests, or complaints, contact us at support@cvdraft.io.

Note for EEA and UK Users: CVDraft.io is not established in the European Economic Area or the United Kingdom. Under GDPR Article 27, we are not required to appoint a formal EU or UK representative because we do not engage in large-scale systematic monitoring of data subjects in the EEA or UK. You may contact us directly at support@cvdraft.io for all privacy-related matters, including supervisory authority referrals.

Note for Indian Users: CVDraft.io is headquartered in India and complies with the Digital Personal Data Protection Act, 2023 ('DPDP Act'). The Data Protection Board of India may be contacted if you are unsatisfied with our response to a grievance.

2. Information We Collect

Information You Provide Directly

  • Full name
  • Email address
  • Phone number (collected through the Resume Builder for inclusion in generated resumes and cover letters)
  • Account credentials (email and password; passwords are stored using one-way cryptographic hashing and are never stored in plain text)
  • Google account information (name and email) when you use Google Sign-In — we do not request access to your Google contacts, emails, or files
  • Resume content including employment history, job titles, company names, dates of employment, educational qualifications, skills, certifications, project descriptions, and achievements
  • Uploaded documents including PDF and DOCX resume files
  • Job descriptions pasted into the Resume Analyzer for ATS matching and optimisation
  • Cover letter personalisation preferences including target role, tone, and career stage
  • Job application tracking data including company name, role applied for, application status, and date applied
  • Feedback submissions including thumbs-up/down ratings, numeric ratings, and optional text comments
  • Payment-related identifiers (transaction references, pack names, and credit balances — full card details are never received or stored by CVDraft; see Section 6)

Information Collected Automatically

  • IP address and approximate geolocation (city/region level, derived from IP)
  • Browser type, version, and language preferences
  • Device type, operating system, and screen resolution
  • Pages visited, features used, time spent, and interaction logs
  • Cookies and similar tracking technologies (see Section 12)
  • Analytics data including page views, click events, and session duration
  • Pricing zone information (derived from geolocation to determine applicable currency and tax treatment)

Special Categories of Personal Data

  • Resumes and uploaded documents may incidentally contain special categories of personal data under GDPR Article 9, such as health information, racial or ethnic origin, religious or philosophical beliefs, political opinions, trade union membership, or sexual orientation.
  • We do not intentionally seek, request, or use special category data. We strongly recommend that you remove any such information from documents before uploading them to the Services.
  • To the extent special category data is incidentally processed, we rely on your explicit consent (provided by voluntarily submitting such data) and, where applicable, the substantial public interest basis of providing employment-support services.
  • If you inadvertently upload special category data and wish to have it removed, contact us immediately at support@cvdraft.io.

3. How We Collect Your Information

We collect your personal information through the following methods:

Direct Collection

  • Account registration: When you create an account using your email address and password, or when you use Google Sign-In.
  • Resume Builder: When you enter your personal details, contact information (including phone number), work experience, education, skills, projects, certifications, and preferences into the step-by-step builder form.
  • Resume Analyzer: When you upload a resume file (PDF or DOCX) and paste a job description for analysis.
  • Cover Letter Generator: When you provide target role, tone, and personalisation preferences.
  • Applications Tracker: When you manually add job application details (company name, role, status, date).
  • Payment flow: When you purchase credit packs, the payment processor (Razorpay or Dodo) shares transaction confirmation and identifiers with us.
  • Feedback widgets: When you submit a thumbs-up/down, star rating, or text comment on a feature.
  • Direct communications: When you email us or submit a support request.

Automated Collection

  • Cookies and similar technologies deployed when you visit our website (see Section 12).
  • Server logs that record requests to our infrastructure, including IP address, timestamp, and requested resource.
  • Analytics tools that aggregate usage data to help us understand how the Services are used.

Third-Party Sources

  • Google: When you use Google Sign-In, Google provides us with your name and email address.
  • Payment processors (Razorpay, Dodo): These providers share transaction confirmation, payment status, and transaction identifiers with us to fulfil your purchase.
  • We do not purchase personal data from data brokers or third-party data sellers.

5. How We Use Your Information

We use your personal data for the following purposes:

  • Create, manage, and authenticate your account
  • Generate resumes, cover letters, and ATS assessments using AI technology
  • Analyse uploaded resumes against job descriptions and provide optimisation recommendations
  • Process payments, manage credit balances, and deliver purchased credit packs
  • Store and retrieve your generated documents and application tracking data
  • Detect and prevent fraud, abuse, credit manipulation, and security incidents
  • Provide customer support and respond to your enquiries
  • Send transactional communications (purchase receipts, security alerts, service notifications, credit balance updates) — these cannot be opted out of while your account is active
  • Send marketing communications only where you have consented or where permitted under legitimate interests for existing customers
  • Comply with applicable legal obligations including tax, accounting, and regulatory requirements
  • Improve and develop our Services through aggregated, de-identified analytics that cannot be linked back to you

6. AI Processing and Third-Party Data Processing

CVDraft.io uses artificial intelligence technologies, including large language models operated by third-party AI infrastructure providers, to generate resume content, analyse documents, provide ATS scores, and generate cover letters.

When you use the Resume Analyzer, Resume Builder, or Cover Letter Generator, the following data is transmitted to third-party AI service providers solely to provide the Service you requested: your resume text or uploaded file content, the job description you pasted, and your builder inputs (experience, education, skills, etc.). These providers act as data processors under our instruction and are contractually prohibited from using your data to train their general-purpose models or for any purpose other than providing the Service to us.

CVDraft.io does not use your resumes, uploaded documents, cover letters, or other personal content to train general-purpose artificial intelligence models.

AI-generated content may contain inaccuracies, hallucinations, factual errors, unintentional similarities to third-party content, or content that does not accurately reflect your employment history. You are solely responsible for reviewing all AI outputs before use. See our Terms of Service for full AI disclaimers.

We have entered into Data Processing Agreements (DPAs) with our AI infrastructure providers that incorporate Standard Contractual Clauses for international data transfers where applicable.

7. Payment Information

Payments are processed exclusively by third-party payment processors. For Indian transactions, we use Razorpay. For international transactions, we may use Dodo or other processors. All payment processors are independently PCI-DSS compliant.

CVDraft.io does not store, transmit, or have direct access to full card numbers, CVV codes, UPI PINs, or authentication credentials. Payment card data is handled entirely by the payment processor's secure checkout.

We retain the following transaction records for legal, accounting, tax compliance, and fraud-prevention purposes: transaction amount, date, currency, pack name, number of credits granted, payment status, masked card last four digits (where available), and transaction reference identifiers (order ID and payment ID).

For Indian transactions, prices are displayed inclusive of Goods and Services Tax (GST) at the applicable rate (currently 18%). GST invoices are available upon request.

Payment information is subject to the privacy policies of the respective payment processors. We encourage you to review their policies before completing a transaction.

8. Data Storage and Retention

Your data is stored on secure cloud infrastructure provided by reputable hosting providers. Data is stored in data centres located primarily in India and the United States, with potential replication for backup and disaster recovery purposes.

Retention Periods by Data Type

  • Account data (name, email, phone number, authentication data): Retained for the duration of your active account. Deleted within 90 days of account closure.
  • Generated documents (resumes, cover letters, analyses): Retained for the duration of your account. Deleted within 90 days of account closure or when you manually delete them.
  • Uploaded resume files for one-time analysis: Processed in memory and not retained on our servers beyond the active session unless you explicitly save the results to your dashboard.
  • Job application tracking data: Retained for the duration of your account. Deleted within 90 days of account closure or when you manually delete individual applications.
  • Transaction and payment records: Retained for up to 7 years after the transaction date as required by Indian tax and accounting law (including the Goods and Services Tax Act).
  • Credit balance and usage data: Retained for the duration of your account. Deleted within 90 days of account closure.
  • Server logs and analytics data: Retained for up to 12 months for security and debugging purposes, then automatically deleted.
  • Feedback submissions: Retained for the duration of your account and for up to 12 months after account closure for product improvement purposes.

You may request deletion of your data at any time by contacting support@cvdraft.io. See Section 14 for data deletion details.

9. Sharing of Information

We may share personal data with the following categories of recipients. All recipients act as data processors under our instruction or as independent controllers where noted:

  • Cloud hosting and infrastructure providers (data storage, compute, and backup)
  • Payment processors (Razorpay, Dodo) — these act as independent controllers of the payment data they collect
  • Authentication providers (Google OAuth) — Google acts as an independent controller of your Google account data
  • AI infrastructure and large language model providers (for generating resumes, analyses, and cover letters)
  • Analytics providers (for aggregated, de-identified usage data)
  • Email delivery providers (for transactional and marketing email)
  • Legal authorities, regulators, or courts when required by applicable law or valid legal process
  • Successor entities in the event of a merger, acquisition, or sale of assets — users will be notified before personal data is transferred, and the successor entity will be bound by this Privacy Policy or a policy offering equivalent protection

We do not sell your personal information to third parties for monetary consideration. We do not share personal data for third-party direct marketing without your explicit consent.

10. California Residents — CCPA / CPRA

This section applies to California residents under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA).

We do not sell your personal information for monetary consideration. We may share certain limited technical identifiers (such as IP addresses or cookie identifiers) with analytics providers, which may constitute 'sharing' under the CPRA for cross-context behavioural advertising purposes.

California residents have the right to: (1) know what personal information is collected about you and how it is used; (2) request deletion of your personal information; (3) correct inaccurate personal information; (4) opt out of the sale or sharing of your personal information; (5) limit the use of sensitive personal information; and (6) non-discrimination for exercising these rights.

To exercise these rights or to opt out of sharing, contact us at support@cvdraft.io with the subject line 'California Privacy Request'. We will respond within 45 days. We will verify your identity before processing requests.

11. India — Digital Personal Data Protection Act, 2023

This section applies to users located in India under the Digital Personal Data Protection Act, 2023 ('DPDP Act').

CVDraft.io, as a data fiduciary under the DPDP Act, processes your personal data based on the consent you provide at the time of account creation and service usage. You have the right to:

  • Access and obtain a summary of your personal data processed by us
  • Request correction and completion of inaccurate or incomplete personal data
  • Request erasure of your personal data, subject to retention required by applicable law
  • Nominate another individual to exercise your rights in the event of your death or incapacity
  • Withdraw consent for processing at any time, after which we will cease processing your personal data (subject to legal retention obligations) within a reasonable period

To exercise these rights, contact our Grievance Officer at support@cvdraft.io. We will acknowledge your request within 24 hours and resolve it within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Data Protection Board of India established under the DPDP Act.

12. International Data Transfers

Your information may be transferred to, stored, and processed in countries outside your country of residence, including India and the United States, where our cloud infrastructure and service providers operate. These countries may have data protection laws that differ from those in your jurisdiction.

For transfers of personal data from the European Economic Area (EEA) or the United Kingdom to countries not covered by an adequacy decision (including India): We implement appropriate safeguards in the form of Standard Contractual Clauses (SCCs) as approved by the European Commission (for EEA transfers) and International Data Transfer Agreements (IDTAs) as approved by the UK Information Commissioner's Office (for UK transfers), incorporated into our agreements with data processors.

For users in other jurisdictions without mandatory transfer mechanisms, by accepting these terms and using the Services, you consent to the international transfer of your personal data as described in this Policy.

13. Your Privacy Rights

Depending on your country of residence, you may have the following rights regarding your personal data:

  • Access: Obtain a copy of the personal data we hold about you
  • Rectification: Correct inaccurate or incomplete personal data
  • Erasure ('Right to be Forgotten'): Request deletion of your personal data, subject to legal retention obligations
  • Restriction: Request that we limit processing of your data in certain circumstances
  • Objection: Object to processing based on legitimate interests or for direct marketing purposes
  • Data Portability: Receive your personal data in a structured, commonly used, machine-readable format (such as JSON or CSV) and transmit it to another controller
  • Withdraw Consent: Withdraw consent at any time where processing is based on consent, without affecting the lawfulness of prior processing
  • Lodge a Complaint: File a complaint with your local data protection supervisory authority or the Data Protection Board of India

To exercise any of these rights, submit a verified request to support@cvdraft.io. We will respond within 30 days of receipt. For complex requests, we may extend this period by up to 60 additional days, notifying you within the initial 30-day period. We will not charge a fee for reasonable requests.

14. Data Deletion and Account Closure

You have the right to request deletion of your personal data at any time. Here is how data deletion works:

Account Deletion

  • You may request account deletion by contacting support@cvdraft.io with the subject line 'Account Deletion Request'.
  • Upon receiving your request, we will verify your identity and confirm receipt within 24 hours.
  • Your account will be deactivated immediately, preventing any further access or login.
  • Your personal data (name, email, phone number, authentication data, resume builder inputs, generated documents, application tracking data, and credit balances) will be permanently and irreversibly erased from our production systems within 90 days.
  • Backup copies of your data may persist in our disaster recovery systems for up to 90 additional days, after which they are automatically overwritten and permanently destroyed.

Partial Deletion

  • You may delete individual generated documents at any time from the Documents page in your dashboard.
  • You may delete individual job application records at any time from the Applications page.
  • Deleted documents and applications are permanently erased from production systems within 90 days and from backup systems within 180 days.

Data Retained After Deletion

  • Transaction and payment records: Retained for up to 7 years as required by Indian tax and accounting law (including GST compliance). These records contain transaction amount, date, pack name, and transaction identifiers — they do not contain your resume content or personal profile data.
  • Server logs: Retained for up to 12 months for security and fraud-prevention purposes.
  • Anonymised, aggregated analytics data that cannot be linked back to you may be retained indefinitely.

Once deletion is complete, it cannot be reversed. If you wish to use the Services again after deletion, you will need to create a new account.

15. Cookies and Tracking Technologies

We use cookies and similar technologies categorised as follows:

Strictly Necessary

  • Required for core platform functionality such as authentication, session management, and security. These cannot be disabled and do not require consent.

Analytics

  • Used to measure usage patterns and improve performance (e.g., page views, feature usage). EEA and UK users will be asked for consent before these are activated.

Functional

  • Used to remember your preferences and personalise your experience. Require consent from EEA and UK users.

You may manage cookies through your browser settings. Most browsers allow you to refuse non-essential cookies or alert you when cookies are being sent. Please note that disabling strictly necessary cookies may prevent the Services from functioning properly. If you are located in the EEA or UK, you have the right to withdraw consent for non-essential cookies at any time through your browser settings; withdrawing consent does not affect the lawfulness of prior processing.

16. Marketing Communications

We will only send you promotional or marketing emails if you have provided consent (where required by applicable law, including CASL for Canadian users and PECR for UK users) or where we rely on legitimate interests as an existing customer (where permitted under applicable law).

Every marketing email will include a clear and functional unsubscribe link. You may also opt out at any time by contacting support@cvdraft.io.

Transactional communications (account confirmations, purchase receipts, security alerts, service notices, credit balance updates) are not subject to marketing opt-outs and will be sent as long as your account is active.

We include our registered address in all commercial email communications as required by applicable law including CAN-SPAM.

17. Children's Privacy

The Services are intended for users aged 16 and older. We do not knowingly collect personal information from individuals under 16.

Users between 13 and 15 years of age may only use the Services with verified parental or guardian consent.

If we discover that we have collected personal data from a user under 16 without appropriate consent, we will delete that data promptly and terminate the account.

If you believe we may have collected information from a minor, please contact support@cvdraft.io immediately.

18. Security and Data Breach Notification

We implement industry-standard administrative, technical, and organisational security measures designed to protect your personal data against unauthorised access, disclosure, alteration, or destruction. These measures include: TLS encryption for data in transit, encryption at rest for stored data, access controls and role-based permissions, regular security reviews, and audit logging.

No security system is entirely impenetrable. In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will:

  • Notify relevant supervisory authorities within 72 hours of discovery where required by applicable law (including GDPR Article 33, UK GDPR, and India's DPDP Act 2023)
  • Notify affected individuals without undue delay where the breach is likely to result in a high risk to their rights and freedoms, in accordance with GDPR Article 34, UK GDPR, and the DPDP Act
  • Notify the Data Protection Board of India as required under the DPDP Act for breaches affecting Indian users
  • Maintain an internal data breach register in compliance with GDPR Article 33(5) and the DPDP Act

19. Third-Party Services and Links

Our Services integrate with or link to third-party websites, services, or platforms. We are not responsible for the privacy practices, security, or content of third-party services.

We encourage you to review the privacy policies of any third-party services you access through our platform before providing personal data to them.

20. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.

For material changes, we will provide at least 14 days' advance notice via email to your registered address or via an in-app notification.

The date of the most recent revision is noted at the top of this Policy. Continued use of the Services after the effective date of any revision constitutes your acceptance of the updated Policy.

If you do not agree to the revised Policy, you must stop using the Services and may request account deletion as described in Section 14.
